Rental Property
Rental property work continues long after an initial enquiry. Owners and managers need to connect properties, tenants, documents and maintenance records without making private information public. We build around the responsibilities and access rules you agree, starting with a clearly defined need.
Request a quoteCommon problems in rental property management
A property has information that stays relevant across tenancies, while a lease or rent record belongs to a particular arrangement. Keeping both in a single folder can make it difficult to find the current document without opening older versions. Maintenance adds a different timeline: an issue is reported, someone follows up and the outcome needs to be recorded. Discovery separates those records so the proposed tool reflects what you manage.
Communication also needs boundaries. A tenant may need an update about their own request, an owner may need a different view and the person arranging work may need internal notes. Sending the same document to everyone is not a substitute for deciding who should see it. We discuss those responsibilities before proposing a portal or app, including which existing systems remain the source of truth for records you do not want to move.
A public website and private tools for rental work
A custom website can explain your property business and give prospective tenants or owners a clear contact route. If you publish available property information, you decide who keeps it current and which photographs can be used. We do not create fictional listings, imply vacancies or invent rental terms. Enquiry forms should collect only the initial information needed; sensitive documents require an agreed private process rather than a public contact form.
A portal can offer a signed-in place for the updates or documents relevant to a tenant or owner. A business app can organize properties, tenants, rent records, leases and maintenance where those functions are in scope. We define account access, record relationships and who is responsible for updates. Payment collection, screening services and accounting connections require separate review. The build supports your agreed administrative workflow; it is not a promise of legal advice or regulatory compliance.
Discovery, design, build, launch and ongoing support
Discovery begins with the properties and relationships you need to manage, using sample or redacted records rather than private tenant details. We identify the tasks and access boundaries, agree on scope and send a quote. Design maps the public information and any signed-in views separately, so you can review what an owner, tenant or team member would see before the build starts.
During the build, you try the preview against agreed tasks. If existing records are being moved, the export and import are scoped first and you review the result before launch. We check the contact flow and private access included in the project, then provide the code, account guide and walkthrough. Ownership transfers after final payment. Support for the first 30 days covers fixes to work as built and small text or photo changes. New functions and larger changes are quoted separately, and ongoing care remains optional.
Frequently asked questions
Can tenants and owners have different portal views?
Yes, separate views can be scoped around each person’s responsibilities. We agree on which records and documents each account can access and check those boundaries before launch.
Can we move existing property records into the new tool?
We can discuss data you provide and have permission to use. Tell us which exports are available and which records need to move. Migration is scoped first, and you review imported records before launch.
Does a rental app automatically include online rent payments?
No. Payment collection and connections to outside providers need their own scope and access review. Your quote lists the functions included, rather than assuming every rental business needs the same setup.
Is The Flip Ledger Rentals a client case study?
No. The Flip Ledger Rentals is software we built and run ourselves. It shows relevant rental workflows, while any custom project is defined separately around your records, responsibilities and requirements.
